Check-in is the first five minutes of your guest's experience and the last thing most planners spend real time evaluating. Strip away the feature lists and demo videos, and what determines whether check-in software is good comes down to two things: how fast it moves a real line, and what happens when something breaks. Everything else is secondary. Offline mode is not optional
Ask any vendor directly: what happens to check-in if the venue wifi drops for ten minutes? A surprising number of tools have no good answer, because they're built assuming a constant connection to look up each guest against a cloud database. On-demand printing generates the badge at the check-in desk itself, right when the guest arrives. It handles walk-ins and late changes cleanly, since there's no pre-committed batch to work around, but it needs a reliable printer at every station (badge printers jam, run out of stock, and occasionally just stop responding at the worst moment) and it adds a few seconds of wait per guest compared to grabbing a pre-printed badge from a sorted stack.
For most events above roughly 100 guests, a hybrid approach works best: pre-print badges for everyone who's confirmed by some cutoff, typically 48 to 72 hours before the event, and route walk-ins, late RSVPs, and name corrections to a single dedicated on-demand station rather than slowing down the main line for exceptions. That keeps your fast lane fast and gives you a controlled place to handle the messy 5 to 10 percent of guests who don't fit the clean list.
Staffing the check-in desk
The number of stations you need depends far more on your arrival curve than your total guest count. A 300-person conference where guests trickle in over two hours needs less check-in capacity than a 300-person dinner where everyone arrives in the same 20-minute window between the parking lot emptying out and doors opening. Look at your event type honestly: conferences and workshops tend to spread arrivals out, while galas, weddings, and evening receptions tend to cluster them right around the stated start time.
As a rough working rule, not a fixed formula, plan for one check-in station per 75 to 100 guests arriving in your busiest 30-minute window, plus at least one additional floating staffer whose only job is handling exceptions: names not on the list, spelling disputes, plus-ones nobody flagged in advance, and general line management so guests don't have to guess which station to approach. A 300-person event with a tight arrival window realistically needs three to four active stations, not one very fast person trying to process everyone alone while a line grows behind them.

The failures that actually happen on check-in day

It's a single point of failure: one laptop running the entire check-in process with no backup device, no backup scanner, and no plan for what happens if that laptop's battery dies, the app crashes, or someone spills a drink near it. Whatever check-in setup you choose, always have a second device ready to go and a printed backup list (even a rough one, sorted alphabetically) as a last resort if all your technology fails at once. It rarely does, but the one time it does is not a good time to be improvising a solution from scratch.
The second common failure is having no plan for guests not on the list. This happens more than most planners expect: a plus-one nobody logged, a corporate guest whose company registered them under the wrong name, a genuine gate-crasher, or simply a data entry error from weeks earlier. Decide in advance, before doors open, who has the authority to let someone in who isn't on the list, and what the process is, whether that's a quick call to a specific person, a manual sign-in sheet for exceptions, or a hard no that gets escalated. Without a predetermined answer, whoever's staffing the door in the moment either turns away someone who should be there or lets in someone who shouldn't, and either mistake creates a problem bigger than the ten seconds it would have taken to have a rule.
The third failure is treating check-in as disconnected from the rest of the event once doors close. The data collected at check-in, actual arrival counts, no-show patterns, walk-in volume, is useful for more than just that day.
